Primepost postal optimisation solution from Critiqom, drives efficiency in the entire postal process
The expansion of Critiqom means that we are regularly travelling from the Scottish Highlands down to Dorset in South West England – and all points in between. When we meet with our customers to talk about how we can help with their critical communication, the question is always “how can you help make our critical communications process more efficient and effective?” It goes without saying that in most case with greater efficiencies come greater cost saving.
We’ve worked hard to develop innovative solutions that can help our customers make the process of communicating with their citizens and customers as cost effective and efficient as possible. We have internal processes in place where every area of our business is feeding back on their area of responsibility; it’s a real team effort. Our team of business analysts are regularly reviewing our performance to find areas for improvement, they meet with our technical and production teams to ensure changes are integrated into our systems and we are able to find savings wherever possible.
Primepost, our day-definite postal optimisation solution, which we have been operating since 2007, was created as a result of potential savings and efficiencies we had identified. In 2006 the UK postal service was deregulated which has made the postal market increasingly competitive but at the same time a bit more complex. A report commissioned by the government in 2008 suggested there was no real benefit to customers following this process that broke the Royal Mail monopoly over the industry. However, following eight years of achieving great savings for our customers through Primepost we would beg to differ. Postage can represent 80% of your mailing costs, utilising Primepost we could save you up to 35% v Royal Mail 2nd class!
But how does it work, and how could it help you? As with most elements of business there are savings in volume. The optimum number in this case is 4000. That is the threshold at which real cost savings can be achieved. When we inject mail to the Inbound Mail Centres (IMC) around the country ready for the final mile delivery, we can be sure that your mail is accurate and sorted by area and address. We have the capacity to data cleanse, sort, print and fulfil, which makes a big difference as to how it is managed upon arrival at the IMC. It also enables us to identify any potential issues early as every stage of the process is signed off by the customer.
Sending unsorted mail to an IMC only delays the process and can often happen when you use separate print and fulfilment companies. Our ability to manage that process from end to end and understand how the delivery houses operate enables us to offer a day-definite delivery of your critical communications with 95% is delivered within two days. Utilising Mailmark adds further rigour to the process, as it provides far superior mail tracking capabilities which in turn allows us to share better management information with our customers.
The fact we manage all our customers mail output through Primepost means that we not only sort your mail but that of other customers at the same time. This enables us to offer greater savings to all our customers whether they have 100,000 or 10 pieces of mail to deliver.
Having control over each stage of the process also means we are able to help you manage your budgets. We can give you a total cost ahead of the job to ensure budgets are in place and no one gets a nasty surprise come the end of the job. Splitting the job between printers and fulfilment companies can seem like a good idea, and even initially a cost saving exercise but managing the process between two companies is never as smooth as you would like.
This also helps you with the wider elements of your process. Every element of critical communication has some form of objective; call, email, pay. So knowing when your communication will be distributed allows you to manage your staff workload and prepare for the influx of calls or emails that may result from your communication.
Primepost has made a real difference to all of our customers, who have taken the leap and joined the revolution. The comfort they get from knowing the whole process is handled by experts and that they are saving money on every communication is a great return for them, and it could be for you too. But don’t just take our word for it take a look at our case studies to find out how our customers are utilising Primepost.
